Job Description
As a Sales Support Specialist, you will be the engine behind our sales representatives. You’ll take the lead on ‘closing the loop’ after client meetings—extracting action items from AI-generated notes, managing CRM integrity, and coordinating travel. Your goal is to ensure that no client request falls through the cracks and that every ‘win’ is documented and handed over to Operations with 100% accuracy.”

Main Responsibilities
- ●Record notes, etc., into CRM from voice notes, or other interactions with clients, including meetings. The Fathom AI tool will take notes, and these need to be actioned & filed.
●Action any requests that come out of client meetings, such as sample requests, information requests, future meetings, and next action into the CRM as directed by Sales Reps.
●Recording order wins on the general company chat.
●Gathering details to prepare quotes or submit quote requests through to Technical. And forward to customers once reviewed by the Sales rep.
●Gathering project details and compiling them into a package for handover to the Operations Team.
●Arranging travel for the End User Sales Team, such as booking flights and hotel accommodation.
●Updating and adding contacts/deals to the CRM.
●Sort and reply to emails on behalf of the Sales Rep. Add notes into CRM as needed.
●Submit quote requests to estimating.
●Prep items for weekly sales reporting.
Qualification and Requirements
Samples & Sales tools
- ●Filling out sample requests for Sales Rep’s and following up to make sure they go out in a timely manner.
●Personalizing PowerPoint presentations for client meetings.
●Preparing a list of items that Sales Reps will need for face-to-face meetings.
●Managed order processing, ensuring all orders and quote requests were completed within a 1-hour turnaround time.
●Provided direct support to the Sales Director, including email and diary management
●Coordinated travel arrangements such as flights, car hire, and parking.
Non-negotiable skills & requirements:
- ●Able to manage a time schedule with Outlook/and or diary.
●Must be adept with standard technical and computer tools commonly used in office applications, including Microsoft Office Suite, CRM, HubSpot, and other software.
●The incumbent must have effective communication skills and the ability to build rapport.
●Frequent contact with staff members of the organization, ability to work with a variety of people and personalities.
●Complete confidentiality of Belroc’s finances, customers, processes, and anything that could potentially harm Belroc’s reputation, financial security, or customer relations.
