Job Summary:

We are an opportunity-focused business within the packaging industry, seeking a highly organised and proactive Sales Administrative Assistant to support our sales team.
This role plays a critical part in ensuring sales representatives can focus on revenue generation by managing administrative workflows, maintaining CRM accuracy, coordinating quotations, and supporting opportunity progression.
The role requires strong attention to detail, pace, and the ability to proactively manage tasks across multiple stakeholders in a fast-moving sales environment.

Duties & Responsibilities

Email & Communication Management

  • ●Manage sales representatives’ inboxes via Microsoft Outlook
  • ●Prioritise, categorise, and respond to emails where appropriate
  • ●Ensure all communications are actioned, tracked, and followed up on
  • ●Liaise professionally with internal teams, including Operations, Purchasing, and Commercial

CRM & Opportunity Management

  • ●Maintain accurate and up-to-date records in Salesforce
  • ●Ensure strong opportunity hygiene, including
  • ●Accurate stages, values, and close dates
  • ●Clear notes and defined next steps
  • ●Timely updates following all customer interactions
  • ●Monitor overdue tasks and enforce pipeline discipline

Quotations & ERP Support

  • ●Raise and issue quotations using Orderwise
  • ●Work with internal teams to gather pricing, specifications, and availability
  • ●Track quotations and ensure timely follow-up actions

Visit Coordination & Preparation

  • ●Arrange customer meetings and site visits
  • ●Ensure sales reps are fully prepared with
  • ●Correct and up-to-date presentation
  • ●Account insights and opportunity summaries
  • ●Prepare pre-visit briefing packs, including
  • ●Account overview
  • ●Active opportunities
  • ●Recent activity and key insights
  • ●Coordinate logistics such as product samples and materials

Post-Visit Follow-Up

  • ●Produce visit reports following customer meetings
  • ●Draft and send follow-up emails within required timeframes
  • ●Capture outcomes and update CRM accordingly

Reporting & Data Support

  • ●Maintain accurate data and reporting using Excel
  • ●Support reporting and insights through tools such as Microsoft Power BI
  • ●Ensure consistency and accuracy across sales data and forecasts

Requirments

Skills & Experience

  • ●Proven experience in sales support, administration, or coordination (B2B preferred)
    ●Strong experience with Salesforce or similar CRM
    ●Experience with ERP systems such as Orderwise
    ●Advanced proficiency in Microsoft Excel (essential)
    ●Experience with Microsoft Power BI (preferred)
    ●Strong working knowledge of Microsoft Outlook
    ●Fluent English (written and spoken)

  • ●Inbox Management:
    • Maximum of 5 unprocessed emails at any time
  • ●Responsiveness:
    • Email response within 1 hour
    • Post-visit follow-up email sent within 30 minutes
  • ●Task & Pipeline Discipline:
    • No more than 5 overdue tasks (“orange triangles”)
  • ●CRM Quality:
    • High standard of opportunity hygiene and data accuracy
  • ●Forecasting Accuracy:
    • Timely and accurate updates to Excel-based forecast tools
  • ●Sales Support Effectiveness:
    • Sales reps are fully prepared for all customer visits (presentations, materials, insights)
