Job Summary/Objective

This role is responsible for accurately entering customer orders into the company’s system. The position involves managing order details, ensuring timely processing, and resolving any discrepancies or issues that may arise. The specialist collaborates with various departments, including sales, purchasing, warehouse, and finance, to facilitate smooth order fulfillment.

Responsibilities & Duties

  • ●Production – coordinate with vendors for backorders and product availability, proofing, ship dates, and making sure the orders are shipped on time.
  • ●Maintain accurate records of orders, changes, and cancellations.
  • ●Provide timely updates on order status, shipping, and delivery timelines.
  • ●Providing excellent and easy to understand support via various support channels (email, phone, chat platforms) to the account manager. This includes but is not limited to Sage/Powerpoint presentations, item research, quotes, graphic case requests, email drafts.
  • ●Identifying potential issues and working with both product and support teams to get resolved.
  • ●Communicating resolutions clearly, effectively, and efficiently
  • ●Identifying and taking ownership of problems, concerns or issues with an order and working with the account manager to mitigate or resolve
  • ●Order Entry – Ensure that everything is on the Sales Order and Purchase Order(s). Inventory ordering for replenishment orders.
  • ●Production – Coordination with vendors on proofing and making sure that orders deliver on time

Skills/Attributes Required

  • ●Excellent customer service relationship skills
  • ●Strong empathy and ability to understand the customer and account manager
  • ●Team player, great work ethic and ability to work in a high paced environment
  • ●Excellent verbal and written English communication skills
  • ●Highly organized and attention to detail
  • ●Experienced with MS Office including Word, Excel, and Outlook
  • ●Experience with SAP, Helpscout, and SalesForce (preferred)
  • ●Experience working with Western companies (preferred)
  • ●Experience with the promotional product industry (preferred)
